terms and conditions

Project Female CIO is committed to offering affordable dance activity for young people.

We apply a youth work approach to a dance setting to ensure sufficient pastoral care is in place for all of our activity and to support access to our classes via appropriately trained members of staff being present at all times. As such we need to be able to adhere to a certain model of invoicing to allow us to make financial predictions which allow us to carefully balance our income/outgoings.

Please read through our terms and conditions carefully before agreeing to them on the registration form.

PF T-SHIRTS

● All dancers need to wear a PF T-shirt to all classes and company training.

● T-shirts cost £15 or £20 for two.

● Please purchase your t-shirts by emailing projectfemaleuk@gmail.com

CLASS MANAGER SYSTEM

● Project Female uses ‘Class Manager’ software to manage our dance activity.

● You will have created an account in our Class Manager software when you registered for your trial class.

● Once you notify us that your young person would like to attend the class on a regular basis then we will enroll them within the system and this will generate an invoice.

● It is your responsibility to check that your young person is linked to the appropriate classes that they wish to attend within the Class Manager system.

● Invoices will be generated according to the information you have provided within the portal when you sign up.

PAYMENT OF INVOICES

● Project Female invoices are sent out at the beginning of each half term to cover the costs of the classes in advance.

● We are UNABLE to offer any ‘pay as you go’ options to attend youth dance classes

● We are UNABLE to offer any refunds or discounts for classes missed due to illness or absence due to attending other commitments during class times.

● All invoices need to be paid within 2 weeks via the invoice system/BACS transfer

● A 10% late services charge WILL be added onto your bill after the payment due date.

● We do not accept any cash payments.

● In the event of unexpected injury or extraneous circumstances we will review refunds or exceptions to these T&Cs on a case by case basis.

NOTICE PERIOD

● We require half a term’s notice that your young person will no longer be attending the classes.

● Once the invoice has been issued it is too late to let us know that your young person has decided they no longer want to attend the class

● You are responsible for providing the notice in writing via email to projectfemaleuk@gmail.com

● You are responsible for letting us know that your young person will no longer be attending the class - don’t assume that just because they haven’t been there for a few weeks we will make the deduction that they have decided to leave.

CANCELLATION OF CLASSES BY PROJECT FEMALE

● In the unlikely event that we have to unexpectedly cancel a class we will either offer a refund, offer an alternative class or credit the cost of the class over to the next half term’s invoice.

● We will communicate any change of plans via email

● It is your responsibility to check your emails - including spam folders - to ensure the emails from our Class Manager software are being received into your inbox.

COMMUNICATION

● Project Female will communicate all relevant information to you via our email system on our Class Manager system.

● We will also send SMS messages for important information when necessary

● We do set up WhatsApp groups where necessary for groups which have a higher traffic of messaging required. It is your responsibility to ensure that you join via our WhatsApp invitation if your young person is in one of these groups. These are usually the Dance Companies and Performance groups.

MAILING LIST

● Whilst your young person is an active member of one of our classes you will be part of our mailing list to ‘All Customers’ to receive news and updates about opportunities at Project Female

● Once your young person is no longer an active member of our dance classes you will remain a part of our ongoing mailing list unless you notify us that you would no longer like to receive information from Project Female

● You can do this by sending an email to projectfemaleuk@gmail.com requesting to be taken off the mailing list.

BEHAVIOUR

● Project Female is an inclusive space for all young people that identify as female or non-binary

● Our dance provision is differentiated to provide additional pastoral care to overcome barriers to attending dance activities for young people with additional needs including neurodiversity and social/emotional issues.

● Our ethos is to nurture tolerance and acceptance within all aspects of our dance provision.

● Project Female will not accept any behaviour that is intentionally harmful to others including bullying and intimidation.

● We have a system in place which addresses any intentionally harmful behaviour as soon as it is brought to our attention and we follow stringent safeguarding procedures to ensure the wellbeing of the young people is at the forefront of our organisation.

● We are always happy to receive feedback on ways in which classes can be improved for your young people

SAFEGUARDING

● Project Female has stringent safeguarding policy and procedures in place.

● Our safeguarding policy is available to view on our website and is updated in accordance with our legal obligations.

● The Designated Safeguarding Lead is Pip Sayers

● Our safeguarding procedures are supported by our partner organisations including Brighton Youth Centre, South East Dance and UKYOUTH

● All collaborators working with Project Female are provided with our Code of Conduct before starting work with us and this includes safeguarding awareness training

DIGITAL SOCIAL MEDIA POLICY

● Project Female has a Digital Social Media Policy in place which is available via our website.

● We acquire permission from all young people and their parent/carers to share photo and video footage via our social media and marketing channels.

● This Digital Social Media policy includes an open door agreement for requests to remove any content from our social media by either young people or their parent/carers

● We have a social media agreement that each young person will be asked to sign as part of the registration process.

● Project Female can provide guidance to young people to support their social media habits however Project Female CIC is not responsible for content posted on the private social media accounts of young people when they are outside of our duty of care

● All of our staff adhere to our Digital Social Media Policy in order to protect young people from potential harm and reinforce safe online behaviour within the teaching environment.

COMPLAINTS PROCEDURE

● Our Complaints procedure is available on our website.

● If you have a complaint please email projectfemaleuk@gmail.com in the first instance.

● We will respond to you within 5 working days

● If we feel that we would benefit from additional support to resolve the complaint then we will be supported by our partner organisations South East Dance and Brighton Youth Centre.
